Role cover letter

Customer Service cover letter examples

Updated 14 September 2026

A strong customer service cover letter connects one clear example to the employer's needs. Use these four UK examples alongside the Customer Service CV guide, replacing every bracketed prompt with evidence from your own work, studies or internal experience.

Square brackets mark facts only you can supply. Replace each prompt; never send the placeholders unchanged.

The role stays the same. The evidence changes with your starting point.

Write your own covering letter

Opening

Name the Customer Service vacancy and give one specific reason for choosing [Company name]. Lead with your closest evidence, such as resolving a complaint, answering questions clearly or improving your work after feedback. Use a named greeting when you know the recipient; otherwise write "Dear Hiring Manager" without guessing a name.

Choose your evidence

Start with the two or three priorities that matter most in the advert and employer research. For each one, choose a credible example: what happened, what you did and the result. Customer service evidence might concern handling a complaint, understanding a customer's circumstances, maintaining records or using feedback to improve. Replace broad claims such as "I am a good communicator" with an observed action and [measurable result]. The Customer Service salary guide can provide pay context while you assess the opportunity.

Build the body

Use a concise opening, two evidence-led body paragraphs and a short closing. One paragraph can establish how you handled a relevant situation; the next can connect your skills or knowledge to [specific employer priority]. Early-career applicants can use a relevant project without apologising for limited formal experience. Career changers should explain [transition reason] and connect prior responsibilities to recent preparation. Internal applicants should show what they achieved in [current role] and why that prepares them for greater responsibility.

Format it

For an online UK application, include a greeting, focused paragraphs, a conventional closing and your typed full name. Keep the presentation professional, follow any instructions in the application system and proofread the final version for spelling and grammar. Close a named greeting with "Yours sincerely" and a role-based greeting with "Yours faithfully".

Close and sign off

End with the contribution you want to make, not a generic claim about enthusiasm. Ask for a discussion without assuming one will be offered. Before submission, compare the letter with the vacancy and the claims in your Customer Service CV; after applying, use the separate Customer Service interview preparation guide for the next part of the application process.
