Write your own covering letter

Opening

Name the Payroll position and [Company name], then give one specific reason for applying. Lead with the evidence that best matches [specific employer priority]; do not begin with a generic claim about being hardworking or passionate.

Choose your evidence

Choose two or three priorities from the advert and employer research. Depending on the vacancy, useful evidence may concern reviewing employee information and hours, calculating wages, processing payments, maintaining records, reconciling payroll, checking data, answering employee queries or communicating with tax authorities. For a senior specialist vacancy, evidence might instead concern analysing a complex pension, pay or benefits case. Describe what you did and add [measurable result] where one exists.

Build the body

Use a concise opening, two evidence-led body paragraphs and a short closing. Experienced applicants can lead with a payroll result. Early-career applicants can use a relevant project, academic achievement or volunteering example without apologising for lacking formal experience. Career changers should state [transition reason] and connect [previous responsibility] to recent preparation. Internal applicants should explain how an achievement in [current role] prepares them for the advertised responsibility.

Format it

For an online UK application, use a business greeting, three or four concise paragraphs, a conventional closing and your typed name. Use "Yours sincerely" after a named greeting and "Yours faithfully" after "Dear Hiring Manager" or "Dear Sir or Madam". Check spelling, grammar and any instructions in the application system before submitting.

Close and sign off

End by linking your evidence to [team objective] and expressing interest in a conversation. Keep the request direct and professional. Do not introduce a new achievement in the final paragraph.
