Write your own covering letter

Opening

Name the Payroll Manager vacancy and give one specific reason for applying to [Company name]. Follow that reason with the most relevant evidence you can prove, such as responsibility for payroll delivery, reconciliation work or careful use of payroll systems. Avoid flattery and do not claim experience you cannot substantiate.

Choose your evidence

Choose two or three priorities from the advertisement and employer research. For each one, state what you did and the result. A Payroll Manager example might concern end-to-end payroll delivery, final-payroll reconciliation, technical knowledge, calculation checks or workload coordination, but include it only when it reflects your own experience. A payroll qualification can strengthen an application, but it is not universal proof of suitability and should appear only if you hold it.

Build the body

Use a concise opening, followed by two evidence-led body paragraphs and a short closing. Give each paragraph one job: establish your interest, prove a relevant capability, then connect that evidence to the employer's needs. Early-career applicants can draw on projects, education or volunteering. Career changers should explain the reason for the transition and connect previous responsibility to recent payroll preparation. Internal applicants should name a current achievement and explain how it prepares them for greater responsibility.

Format it

For an online UK application, use a greeting, three or four concise paragraphs, a conventional closing and your typed name. Address a known recipient by name and finish with "Yours sincerely". If you use "Dear Hiring Manager" or "Dear Sir or Madam", finish with "Yours faithfully". Check spelling, grammar and any instructions in the application form before submitting.

Close and sign off

End by connecting your evidence to one team or employer priority. Express interest in discussing the role without assuming that an interview will follow. Keep the final sentence specific to this application, then add the correct UK sign-off and [Your full name].

  • Contains no invented names, results, dates, qualifications or experience.
