Role cover letter

Project manager cover letter example and writing guide

Updated 3 September 2026

A focused project manager cover letter shows what you delivered, what you did and why that experience fits the vacancy. Start with the employer's priorities, then choose a project result that proves you can meet them. Review your project manager CV first so the two documents support each other without repeating the same detail.

Square brackets mark facts only you can supply. Replace each prompt; never send the placeholders unchanged.

Choose the version that matches your situation

The role stays the same. The evidence changes with your starting point.

Experienced

Replace every highlighted prompt

Dear [Hiring manager's name],

I am applying for the Project Manager position at [Company name], where [specific employer priority] calls for the delivery experience I have built.

Change control evidence

On [relevant project], I used [relevant tool] to assess proposed changes, their dependencies and their effect on the business case. I agreed the response with the sponsor and achieved [measurable result].

Leadership and fit

I then led a multi-skilled team through delivery, keeping stakeholders informed and the work tied to its objectives, schedule, budget and quality standards. That experience prepares me to take responsibility for [advertised responsibility].

I would welcome the opportunity to discuss how I could support [team objective].

Yours sincerely,

[Your full name]

Write your own covering letter

Opening

Open by naming the Project Manager role and [Company name], then give one genuine reason for applying. Connect that reason to a detail in the advert, such as responsibility for managing risks to schedule, cost and quality. Address the recipient by name when you know it; if you do not, use "Dear Hiring Manager".

Choose your evidence

Match each example to a priority in the advert. If the role covers governance, describe how you chose the method, clarified responsibilities and kept decisions within the agreed structure. For benefits work, explain which metrics you tracked, how you reported them and whether the intended result was achieved. Give the project context, your action and a credible outcome; leave out evidence you cannot support.

Build the body

Keep the body to two focused paragraphs. In the first, describe one project, the action you took and the result. In the second, connect that evidence to [advertised responsibility] and [team objective]. Choose an example that adds something your CV does not already show. If the advert mentions social, legal or environmental implications, explain how you identified and managed the relevant issue. Career changers can link [previous responsibility] to [new-field project], while early-career applicants can draw on academic, volunteer or personal work. Internal applicants should still spell out their contribution and result rather than assuming the reader knows what they achieved.

Format it

For an online UK application, keep the layout simple and easy to scan. Start with a greeting, write three or four short paragraphs, and finish with the appropriate closing and your typed full name. Check the application system for any formatting or file requirements before you submit. Read the letter once more for spelling, grammar and missing words.

Close and sign off

Close by saying you would welcome a conversation about the role, then name the project responsibility you are ready to take on. Keep it specific: refer to delivering the work against its objectives rather than repeating your evidence. Use "Yours sincerely," after a named greeting and "Yours faithfully," after "Dear Hiring Manager" or "Dear Sir or Madam".

03
