Junior vs senior: what changes
AspectJuniorSenior
Personal statementLeads with transferable evidence from study, placements, volunteering or early employment and names the target assistant setting.Leads with the scale of support provided, the stakeholders served and measurable operational results.
Experience evidenceShows accurate scheduling, correspondence, record keeping and dependable follow-through on assigned work.Shows ownership of complex diaries, projects, sensitive information, client relationships and support for senior decision making.
Achievement metricsUses modest, defensible measures such as enquiry volumes, meeting counts, record accuracy or turnaround time.Uses broader measures such as project scope, budget size, stakeholder coverage, diary complexity or service improvements.
Skills emphasisPrioritises communication, basic computer work, organisation, attention to detail and willingness to learn.Prioritises judgement, complex prioritisation, project coordination, information synthesis, discretion and relationship management.
Leadership and autonomyShows initiative within a defined brief and gives examples of seeking guidance at the right time.Shows independent prioritisation, coordination across teams and calm handling of changing demands.
Education and extrasGives education, placements and relevant volunteering more space when employment history is short.Keeps older education brief and gives more room to recent leadership, scale and results.

How to write an assistant CV

Use a clear, reverse-chronological format, with your latest role first. One page can suit a graduate assistant CV or someone with limited experience; an established candidate may need two. Order the sections as contact details, personal statement, skills, experience, education and relevant extras.

SectionKeep it focused on
Personal statementYour level, strongest evidence and target role
ExperienceRecent achievements, scope and defensible results
SkillsAbilities demonstrated in work, study or volunteering
EducationQualifications, institutions and dates
ExtrasRelevant development, languages or volunteering

Keep your personal statement to two or three sentences. For a general assistant application, connect your competencies, experience and achievements directly to office or general support work. Give the most space to recent, relevant experience and compress older positions.

Choose skills that match the vacancy and support them with evidence. Recent graduates can draw on placements, coursework, society posts and volunteering, but should explain their own contribution. Put education above experience only when it makes the stronger case for your suitability. Extras should earn their space by adding evidence that matters to the role.

Personal statement examples

Stronger example

Organised assistant with three years' experience supporting a busy operations team, coordinating diaries and preparing accurate documents. Reduced overdue administrative requests by 28% through a shared tracking system and arranged more than 40 meetings each month without a scheduling clash. Seeking a role where calm prioritisation and careful follow-through will support a larger team.

Too generic

Hard-working assistant looking for a new opportunity. I am organised, friendly and good at multitasking. I can work alone or in a team and will do any duties required.

Writing your experience

A strong assistant CV does more than repeat a job description. Build each bullet around action, scope and outcome: start with a direct verb, explain what you handled, then show why it mattered. For a general assistant application, describe what you did and add a quantified result only when you have a figure you can defend.

Flat dutyStronger evidence
Answered enquiriesResolved an average of 35 customer and supplier enquiries each day, keeping 92% within the team's response target
Arranged meetingsCoordinated 25 monthly meetings across four diaries and cut double bookings from six per quarter to one
Prepared reportsChecked and formatted 18 monthly reports, reducing returned corrections by 30%

The revised bullets reveal both workload and effect. If you lack a percentage or financial result, use an honest measure such as diary volume, turnaround time, document count, event attendance or the number of people supported. A precise description without a number is better than an invented metric.

Tailor the evidence to the vacancy. Personal assistant work can cover enquiries, meetings and appointments, meeting notes, correspondence, document and report preparation, record maintenance, events and travel arrangements. Executive assistant work can involve projects, complex diary priorities, research and briefings for senior management, decision support, meeting and travel coordination, sensitive information and client relationships. Include only work you genuinely performed.

Useful opening verbs include coordinated, resolved, prepared, scheduled, drafted, recorded, prioritised, monitored and delivered. Pick the verb that states the work plainly. When the outcome is especially useful, lead with it: "Cut invoice query time by two days by introducing a shared request log."

Keep most bullets to one or two lines. Three to five well-chosen points beneath a recent position usually provide enough evidence without burying the result. Use past tense for completed work. In a current role, use present tense for continuing duties and past tense for finished improvements.

Education & certifications

Place education after experience unless you are a recent graduate whose studies provide stronger evidence. State the qualification or course title, institution and dates. Add selected modules, projects or distinctions only when they help explain your fit. A graduate assistant CV may also refer to course administration, group projects, society posts or placements, provided you make your own contribution clear.

The supplied role evidence does not establish a universal education or professional route for assistant work. Read the vacancy closely and reproduce the employer's wording accurately. If it asks for a role-specific qualification, distinguish a stated requirement from a preference. Where none is specified, keep this section factual and let your experience carry the application.

A qualification in dementia awareness was arranged in one documented case for a personal assistant supporting a person with dementia. This is a conditional example, not a general requirement for personal assistants. Include that exact title only if you genuinely hold it and it is relevant to the vacancy. The evidence does not identify an issuer, so enter the provider shown on your own record rather than inferring one.

For any other development, check the exact title, provider and completion year against your documents. Leave out unrelated or unverifiable courses. Do not present optional learning as compulsory or add a named credential simply because it appears in similar vacancies.

Common mistakes to avoid

  • AvoidUsing the title "Assistant" without showing whether the work involved office administration, executive support or independent-living support.

InsteadMatch the wording to the vacancy and describe the actual setting, people supported and scope of the role.

  • AvoidListing duties such as "managed diaries" without saying what changed as a result.

InsteadUse a strong verb, describe what you did and add a result you can defend, such as fewer diary clashes or quicker responses.

  • AvoidWriting a personal statement that could belong to any applicant.

InsteadName two or three relevant strengths, the type of assistant work completed and one useful outcome or achievement.

  • AvoidTreating confidentiality as a vague personality trait.

InsteadShow the context in which you handled sensitive information, while leaving private names and details out of the CV.

  • AvoidClaiming to be organised without evidence of competing priorities.

InsteadGive a short example involving calendars, appointments, reports, budgets, meetings or travel, with scale where possible.

  • AvoidUsing one assistant CV for every vacancy.

InsteadAdjust the personal statement, skills and experience bullets to the duties named in each job description.
