Junior vs senior: what changes
AspectJuniorSenior
Evidence baseRiley: An operations internship and a clearly labeled academic project support a first Business Analyst application.Jordan: Business Analyst employment since 2016 supports established experience and progression into a senior role.
OwnershipRiley: Investigated exceptions and proposed a checklist; the operations manager approved the pilot.Jordan: Led regional analysis and presented options; operational teams implemented the selected routing change.
JudgmentRiley: Checked query totals and corrected a duplicate join before presenting results.Jordan: Compared staffing, service and implementation tradeoffs and made assumptions visible to regional leaders.
ResultsRiley: Compared clarification requests across equal order samples and documented the limits of the pilot.Jordan: Connected recommendations to handling-time and invoice-adjustment results, with defined observation periods.
Section emphasisRiley: Keep the internship and academic project prominent, with education supplying useful recent context.Jordan: Give most space to recent recommendations, regional scope and coaching; keep older education concise.

How to write a business analyst resume

Use a reverse-chronological business analyst resume template with clear section labels and consistent dates. Choose the shortest readable length that covers your relevant evidence; let the substance determine whether another page adds value. Check the target application's instructions before choosing a file format or final layout.

Start with contact information and a concise professional summary. Then place your strongest relevant evidence: employment for an established analyst, or clearly labeled projects and internships for a first-role applicant. Keep entries within each section in reverse-chronological order. Skills and education can follow; move education earlier when recent study provides your strongest evidence.

SectionWriting focus
Professional summaryExplain your target and demonstrated contribution.
Experience or projectsSelect work that shows a decision, contribution or result.
SkillsMatch each selected capability to something you can explain.
EducationRecord completed study accurately and select useful supporting detail.
ExtrasAdd material that strengthens this particular application.

For a career change, inspect prior work or study for transferable examples: gathering requirements, probing an unclear request, checking details or coordinating people where you actually did so. Keep the original job title and explain the contribution. A project label also helps distinguish classroom work from employment.

Professional summary examples

Stronger example

Riley Sample, Entry: Recent information systems graduate targeting a first Business Analyst role, with operations internship and academic project experience. Used Excel to investigate order exceptions and documented a revised intake process that reduced clarification requests during an internship pilot. Jordan Sample, Senior: Senior Business Analyst with 10 years of experience investigating operational problems and developing recommendations with business leaders. Led analysis for an order-routing pilot that reduced average handling time by 18%, and assessed commercial tradeoffs across three regional teams. Riley establishes relevant supporting experience without claiming an earlier analyst position. Jordan states established experience and broader responsibility. Both openings give the reader claims to examine in the experience section.

Too generic

Entry: Motivated graduate seeking an exciting opportunity to use my skills and develop professionally. Senior: Experienced business professional with excellent analytical abilities and a proven track record of success. Neither opening identifies the work performed, the candidate's contribution or a result. Replace the general praise with a concise business analyst resume summary grounded in your own history.

Writing your experience

Build each bullet around a problem, your contribution and what happened next. Start by identifying what was unclear, slow, costly or inconsistent in your own work. Then explain the action you took and the method or decision that mattered. Finish with the observed outcome, including a limitation when it changes how the result should be understood.

These before-and-after pairs draw on the fictional business analyst resume sample profiles above:

  • Before: "Helped improve order processing." After: "Interviewed four order coordinators and mapped the intake process; proposed clearer ownership for incomplete requests, which the manager approved for a team pilot." Riley's version makes the supporting contribution visible and leaves approval with the manager.
  • Before: "Used SQL on a project." After: "Compared query totals with the original dataset and corrected a duplicate join before the team presented its findings, preventing inflated overdue counts." The useful evidence is the check and correction, rather than the tool name alone.
  • Before: "Delivered an 18% efficiency improvement." After: "Led analysis of order-routing delays across three regional teams; used SQL to isolate repeat handoffs and recommended a routing change that operations piloted, reducing average handling time by 18% over eight weeks." Jordan's version separates analytical ownership from operational implementation.

For adjacent employment, consider reporting, documentation or process work you can explain in the same concrete way. Keep classroom projects and internships labeled accurately. Choose verbs that reflect your contribution, such as analyzed, interviewed, mapped, reconciled, compared, recommended or presented; use led only when you owned that work.

A team result can belong in your resume when you explain your part. Avoid crediting yourself with the entire change if you supplied analysis or supported a pilot.

Education & certifications

Present completed education with the awarded degree, field of study, institution and completion date. Use the wording on your records rather than replacing it with a broader or more impressive description. If a course or program is unfinished, describe its actual status so it cannot be mistaken for an awarded qualification.

For a first-role application, select coursework or a project only when it adds evidence that the rest of the resume lacks. Riley's education entry names the completed degree, while the separate academic project explains what Riley analyzed and checked. That separation gives the reader both the academic context and the individual contribution without repeating the same paragraph.

For an established applicant, keep older education concise when recent employment already demonstrates the relevant work. Jordan's example leaves space for recommendations, commercial tradeoffs and operational results instead of expanding the degree entry.

If you include a credential you actually hold, copy its exact name and issuer accurately and describe its status honestly. Keep completed awards separate from training in progress. Decide whether an optional course adds useful evidence for the target posting before giving it space.

The examples' education records are fictional illustrations of presentation. Choose your own details and check any qualification wording in the actual posting before adapting the layout.

Common mistakes to avoid

  • AvoidListing duties such as preparing reports without explaining what the report resolved.

InsteadIdentify the question, your analytical contribution and how the findings informed a decision or next step.

  • AvoidClaiming advanced tool proficiency that the experience section does not support.

InsteadDescribe the work you performed with the tool and use a proficiency description you can explain.

  • AvoidTurning a supporting contribution into ownership of an entire improvement.

InsteadSeparate your analysis or recommendation from approval, implementation and the team's result.

  • AvoidGiving a percentage without a baseline, period or clear measure.

InsteadExplain what changed and how you measured it. Use a qualitative result when a reliable figure is unavailable.

  • AvoidUsing inconsistent dates or presenting an academic project as employment.

InsteadCheck the chronology, label each experience accurately and compare the final resume with the target application's instructions.
