Write your own covering letter

Opening

Name the Manager vacancy, [Company name], and one genuine reason for applying. If you know the recipient's name, use it; otherwise write "Dear Hiring Manager" rather than guessing. Your first paragraph should also point to the evidence that best matches [specific employer priority].

Choose your evidence

Choose two or three priorities from the advert. For each one, explain what you did and what changed as a result. Useful evidence could show how you delegated work, set expectations, managed stakeholder relationships, coached colleagues, handled conflict or supported a team through change. You might also discuss balancing daily delivery with staff development and organisational plans. Include a qualification only when it strengthens your application. A CMI-accredited Level 3 first-line management qualification is one optional development route; entry requirements for the South Essex programme apply to that course, not every manager vacancy. Likewise, the listed CIPD diploma subjects come from a specific Forth Valley College programme. If the advert is for a people-function role, match your evidence to its stated duties. Build the body

Use two focused body paragraphs. The first should explain what you did, the judgement you used and [measurable result]. The second should connect that evidence to [advertised responsibility] and [team objective]. Early-career applicants can use a project, academic achievement or volunteering; career changers should explain the reason for the move and connect a previous responsibility to recent preparation. Internal applicants should name a current achievement and explain how their knowledge of the organisation supports the new responsibilities.

Format it

For an online application, use a greeting, concise paragraphs, a conventional closing and your typed full name. Keep the presentation plain and readable. Proofread the final version for spelling and grammar, and remove any sentence that could be sent unchanged to another employer.

Close and sign off

End with a specific expression of interest in the team or its priorities. Use "Yours sincerely" after a named greeting and "Yours faithfully" after "Dear Hiring Manager" or "Dear Sir or Madam". Put [Your full name] beneath the sign-off.
