Write your own covering letter

Opening

Open by naming the Office Manager vacancy and explaining why [Company name] interests you. Then connect your strongest evidence to one advertised duty, such as managing a budget, setting staff procedures, reporting to senior managers or supporting recruitment. Be specific about what you did and the result, rather than describing yourself as organised or experienced without proof.

Choose your evidence

Build the body

Keep the middle of the letter focused on evidence. In the first body paragraph, describe one relevant situation, the action you took and the outcome. Use the second to connect a different example to an advertised duty, such as setting staff procedures, managing an office budget or supporting recruitment. For a career change, explain how recent preparation and earlier responsibilities equip you for the work. For an internal move, show how a specific contribution proves that you can take on wider responsibility. Each paragraph should add something new rather than repeat the opening or list qualities without proof.

Format it

For an online UK application, start with a greeting and follow it with three or four short paragraphs. Finish with the appropriate closing and your typed name. Address the recipient by name when you know it; otherwise, use "Dear Hiring Manager". Before submitting the letter, check the spelling and grammar, then read it once more for repeated wording.

Close and sign off

Close by connecting one piece of evidence to the employer's day-to-day needs. For a role focused on coordinating office operations, briefly state how your example shows that you can help keep the office running, then express interest in an interview. Use "Yours sincerely," after a named greeting and "Yours faithfully," after "Dear Hiring Manager" or "Dear Sir or Madam".
