Junior vs senior: what changes
AspectJuniorSenior
Personal statementLead with transferable administration experience, dependable organisation and examples of supporting a busy team. Keep the target realistic, such as assistant or junior office management work.Open with the scale of operations led, the teams supported and the strongest outcomes in cost control, service, systems or organisational efficiency.
Experience evidenceUse examples from administration, reception, customer service, study or volunteering. Quantify diary volume, records processed, events arranged or colleagues supported where defensible.Prioritise improvements across several office functions, such as budgets, suppliers, facilities, staffing and reporting. Show measurable effects and the scope of responsibility.
LeadershipShow initiative, reliable handovers, coordination with colleagues and occasions when you took ownership of a small task or process.Show delegation, workload planning, absence cover, onboarding, staff development and clear accountability for an administrative team's output.
Financial responsibilityMention accurate invoice entry, expense checks, cash handling or purchase tracking when these formed part of the role.Show budget ownership, expenditure monitoring, supplier negotiations and concise reporting to senior management, supported by figures that can be verified.
Systems and processesDemonstrate confident use of office software, accurate filing and consistent application of established procedures.Show where you introduced or improved office systems, policies, reporting routines or data handling processes and explain the resulting improvement.
Stakeholder rangeGive examples of helpful communication with colleagues, customers and suppliers, particularly when priorities conflicted.Show confident communication with senior and board-level stakeholders, contractors, accounts and IT teams, including reports or presentations that supported decisions.

How to write an office manager CV

Use a reverse-chronological format so recruiters can follow your recent experience and career progression quickly. Most candidates can keep the CV to two pages, although relevance matters more than filling space. Put your name and contact details first, followed by a personal statement, employment history, skills and education. Optional extras belong at the end.

SectionWhat to include
Personal statementYour level, relevant office experience and one or two credible results
Employment historyRecent roles, operational scope and achievements with defensible figures
SkillsA concise mix of administrative, digital, financial and people skills
EducationQualifications listed newest first, with detail weighted towards recent study
ExtrasLanguages, volunteering or other information only when it helps your application

Keep the design plain, readable and consistent. Use clear headings, sensible spacing and ordinary typefaces. Match the language and degree of formality to the vacancy rather than sending the same office manager CV sample everywhere.

Write a short personal statement that answers three questions: what work you do, what scale you handle and what you have improved. In the experience section, lead with outcomes instead of copying a duty list. Select skills you can demonstrate elsewhere in the CV, then present education briefly unless it is central to your route into the role. If you lack the exact job title, draw on transferable administrative experience such as coordinating diaries, resolving office problems or improving records; an administrative assistant CV example can help you compare the closer role.

Personal statement examples

Stronger example

Office manager with seven years' experience coordinating busy multi-site operations and supporting teams of up to 45 employees. Reduced annual supplier costs by 12% through contract reviews and introduced a booking process that cut meeting-room clashes by 30%. Confident managing budgets, workplace systems and competing requests while giving senior colleagues clear, timely information.

Too generic

Hard-working office manager looking for a new opportunity in a good company. I am organised, friendly and able to work alone or in a team. I have completed many office duties and believe I would be a great fit for the role.

Writing your experience

Treat each bullet as a small piece of evidence. Start with a precise action, state the scope, then give the result: "Renegotiated contracts with six office suppliers, reducing annual expenditure by £9,400 without cutting service coverage." The number gives context, but the explanation shows how you achieved it.

Useful measures include expenditure, savings, processing time, error rates, response times, diary volume, sites supported, staff covered and suppliers managed. Choose the measure that genuinely describes your work. If a result cannot be expressed as money or a percentage, use a defensible count, frequency or time period. For example, "Coordinated weekly schedules for 18 staff across two locations" is more informative than "Managed busy calendars".

BeforeAfter
Responsible for ordering stationeryConsolidated orders across three departments, cutting monthly stationery spend by 14%
Helped with staff onboardingBuilt a joining checklist used for 22 starters, reducing missing first-day equipment requests from nine to two per quarter
Managed invoicesIntroduced a weekly invoice check for 120 monthly items, reducing overdue approvals by 35%

Use verbs that identify your contribution: coordinated, negotiated, introduced, streamlined, scheduled, reconciled, resolved, supervised, monitored and reduced. "Assisted with" and "helped to" can hide ownership, so replace them when you were responsible for the result.

An office manager CV commonly benefits from evidence of organisational ability, leadership and measurable achievement. Show the working context as well as the headline number. A senior candidate might describe budget ownership, staff delegation or reporting to senior management; an entry-level candidate can use smaller examples from administrative work, study, volunteering or customer service. Keep every claim accurate. Rounded figures are fine when records support them, but false precision looks awkward and may be difficult to explain at interview.

Education & certifications

List education in reverse-chronological order with the qualification or course, subject, institution and completion year. Recent candidates can add two or three relevant modules, projects or assessed outcomes. Experienced office managers usually need only the core details because their employment record carries more weight.

There is no single named qualification in the supplied evidence that applies universally to every office manager vacancy, so read each advertisement carefully and reproduce only the qualifications you genuinely hold. Do not label an optional study route as a general entry requirement.

For an assistant office manager route, a business studies or business administration college course is an optional way to develop relevant knowledge. A T Level in Management and Administration is another optional route for that same level of position. These are possible routes, not universal conditions for office management work. Write the exact title shown on your certificate or course record and include the completion year; if you are still studying, give the expected completion year honestly.

Requirements can also depend on the setting. One primary-school Office Manager vacancy in the grounding evidence asks for administrative experience and experience handling confidential information. For that particular post, experience with financial processes or cash is preferred, while previous work in a school is preferred rather than essential. Treat such wording as vacancy-specific: mirror the relevant evidence in your employment bullets instead of presenting it as a rule for the whole profession.

Avoid a vague "certifications" list with unnamed training. If a vacancy requests a role-specific qualification, place the exact credential prominently. Otherwise, keep this section factual and let recent, relevant experience do the persuading.

Common mistakes to avoid

  • AvoidListing routine duties without showing what changed. "Responsible for office administration" tells the reader very little about the volume handled, the problem solved or the result.

InsteadTurn duties into evidence. State the action, scope and outcome, such as reducing monthly supply costs, shortening invoice processing time or supporting a stated number of colleagues. Use only figures you can explain and defend.

  • AvoidUsing the same office manager CV for every vacancy, even when one advert stresses budgets and another focuses on facilities, staffing or executive support.

InsteadRead the job description closely and reflect its relevant language where it matches your experience. Reorder bullets and skills so the evidence most useful to that employer appears first.

  • AvoidGiving software a vague label such as "computer literate" rather than naming tools and explaining how they were used.

InsteadName relevant systems, including Microsoft Office Suite where accurate, and connect them to work such as reporting, scheduling, records management or expenditure tracking.

  • AvoidClaiming strong organisation or leadership without giving the reader proof of either.

InsteadShow these qualities through examples: coordinating competing diaries, arranging absence cover, delegating work, onboarding colleagues or keeping a time-sensitive office project on schedule.

  • AvoidLeaving sensitive records and data handling out of the CV, despite having managed confidential employee, customer or financial information.

InsteadDescribe the types of records handled, the filing processes maintained and the steps taken to follow data protection procedures, without disclosing confidential details.

  • AvoidCrowding the CV with decorative formatting, long paragraphs or a generic personal statement that hides the strongest evidence.

InsteadUse a clean reverse-chronological structure, short achievement bullets and clear section headings. Keep the personal statement specific to office operations, team support and measurable results.
