Write your own covering letter

Opening

Name the Service Delivery Manager position and [Company name], then say why this vacancy interests you. Refer to [specific employer priority] and connect it to [relevant achievement] rather than offering general praise. Read the advertisement closely: one UK higher-education profile places the role in operational IT service delivery, but the remit varies by employer. Use "Dear [Hiring manager's name]" when you know the recipient's name. Otherwise, use "Dear Hiring Manager".

Choose your evidence

Choose two or three priorities from the advertisement and build your evidence around them. A service delivery example might cover an SLA review, an escalation, an improvement plan or communication with stakeholders. State the situation, explain what you did and give [measurable result]. Avoid unsupported claims about leadership or communication. Qualifications also depend on the employer: one UK higher-education role profile lists degree-level education or substantial related experience and specific ITIL knowledge, but these are not universal requirements. Follow the criteria in the vacancy rather than adding certificates the employer has not requested.

Build the body

Build the middle of the letter around the vacancy, not a fixed list of qualities. Give one paragraph to a specific piece of evidence: set out the problem, your part in it and [measurable result]. Use the next paragraph to explain how that experience prepares you for [advertised responsibility]. If the post sits in operational IT service delivery, make that context clear rather than treating every Service Delivery Manager role as identical. Early-career candidates can use [relevant project]. Career changers should connect [previous responsibility] to the new role and briefly explain [transition reason]. Internal applicants should name [specific contribution] from [current role], since the panel may not know the detail of their work.

Format it

For an online UK application, leave out postal contact details if the application system already collects them. Use short paragraphs, a conventional greeting and a typed name. Before submitting the letter, check the spelling, grammar, employer details and every placeholder.

Close and sign off

Close by saying that you would welcome a discussion about the role. Briefly connect your experience to one advertised responsibility, such as reviewing service levels or reporting performance, but do not introduce new evidence. Use "Yours sincerely," after a named greeting and "Yours faithfully," after "Dear Hiring Manager" or "Dear Sir or Madam". Put [Your full name] on the next line.
