Shows steady progression, trusted handling of sensitive records, recruitment support at scale and measurable improvements to everyday HR administration.

Junior vs senior: what changes
AspectJuniorSenior
Personal statementFocuses on relevant knowledge, transferable administration and communication evidence, plus a clear reason for moving into HR support.Leads with the scale of HR operations supported, breadth of recruitment work and evidence of improving service or efficiency.
Experience evidenceUses internships, part-time roles, study projects or volunteering where these demonstrate transferable skills, with clear job titles and employers.Prioritises recent HR posts and quantifies application volumes, recruitment activity, record accuracy, response times or process improvements.
Recruitment scopeShows reliable support for individual stages, such as posting vacancies, arranging interviews or responding to candidate questions.Shows coordination across several recruitment stages, handling competing vacancies and maintaining timely communication with candidates and colleagues.
Systems and dataDemonstrates careful data entry, computer skills and accurate maintenance of straightforward records.Shows ownership of personnel system workflows, reporting, management information and improvements to data quality or administrative control.
CommunicationProvides examples of clear email, telephone and face-to-face contact, with appropriate care around sensitive information.Shows confident communication across different audiences, resolution of difficult enquiries and sound escalation of complex situations.
Skills sectionSelects a focused mix of administration, computer, organisation and interpersonal skills that can be supported by examples.Adds deeper evidence in HR reporting, policy and process awareness, problem solving, recruitment coordination and operational efficiency.

How to write a HR assistant CV

Use reverse-chronological order, starting with your latest role or education. A two-page CV is a sensible target for most applicants, although an early-career candidate may have enough relevant evidence for one strong page. Use a plain font, clear headings, consistent dates and enough white space to make the document easy to scan. Choose a file type that preserves the layout and consider whether it will work with an applicant tracking system.

SectionWhat to include
Contact detailsName, UK location, mobile, professional email and profile link
Personal statementRelevant knowledge, strongest skills and the contribution you can make
ExperienceRoles in reverse order, with evidence of results rather than copied duties
SkillsInterpersonal strengths and computer knowledge supported elsewhere in the CV
EducationQualification, result or class where relevant, institution and completion year
ExtrasRelevant recognition, training or language ability only

Keep the personal statement brief and specific to the vacancy. If you are writing an HR assistant CV with no experience, focus on useful knowledge, transferable administration and your reason for applying. Do not present enthusiasm as a substitute for evidence.

Under each position, give the job title and employer, then use concise bullets. Internship and part-time work can earn their place when they demonstrate transferable skills. Draw attention to administration, organisation, communication, data handling or service rather than describing every task you performed.

Use a compact skills section, but avoid unsupported rating bars. Education can carry more weight near the start of a junior CV; experienced applicants can place it after employment. Add certifications, recognition or foreign-language levels only when they strengthen the application, and leave out unrelated hobbies.

Personal statement examples

Stronger example

Organised HR assistant with experience coordinating interviews, maintaining confidential employee records and answering candidate enquiries across phone and email. Comfortable working with HR data and Microsoft Office (Word, Excel, Outlook), with a careful approach to deadlines and sensitive information. Looking to support a busy people team through accurate administration and responsive service.

Too generic

Friendly and hardworking person looking for an HR assistant job. I am good with people, work well alone or in a team and can do many office tasks. I want a new challenge where I can learn and grow.

Writing your experience

An experience section works best when each bullet shows what you did, the scale or context, and the result. A useful pattern is: action verb + HR or administrative task + scope + outcome. The metric can be a volume, turnaround time, accuracy rate, deadline, backlog reduction or service response figure, provided it is genuine and you can explain how it was measured.

Recruitment support can cover posting vacancies, screening or shortlisting CVs, arranging interviews, preparing offer documentation and helping with onboarding. HR administration may include maintaining records, producing management information from HR data and responding to questions through phone, email or face-to-face contact. Those activities become convincing CV evidence when the reader can see your ownership and result.

BeforeAfter
Helped with recruitment.Scheduled 28 interviews across four vacancies in one month, with 96% attended as planned.
Updated employee files.Reviewed 180 employee records before an internal deadline and corrected 24 incomplete entries.
Answered candidate questions.Handled an average of 20 candidate enquiries a day and resolved 85% without escalation.

The figures above are illustrative. Replace them with your own defensible evidence rather than copying them.

For an entry-level application, transferable examples count. A retail role might show discreet handling of personal details; university society work might prove scheduling and communication; an office placement might demonstrate accurate data entry. State the connection plainly instead of claiming HR experience you did not have.

Good opening verbs include coordinated, scheduled, screened, maintained, reviewed, tracked, prepared, responded, resolved, compiled and reconciled. Vary them only when the meaning changes. Where appropriate, show that you used questioning and active listening to understand a request, found the cause of a problem and escalated a complex case. Keep bullets short enough to scan, and give the most relevant evidence first.

Education & certifications

Present education in reverse-chronological order. For a relevant degree, record the degree class, degree type, graduation year and institution. If you have limited practical experience, you can add a short note on a relevant achievement, extracurricular responsibility or academic strength, but connect it to the vacancy rather than listing every module.

The supplied evidence does not establish a universal degree, licence or named professional certificate for HR assistant work. Do not imply that a particular credential is an entry condition unless the vacancy says so. Instead, reproduce the employer's wording accurately and show the closest evidence you hold.

For entry-level HR roles at universities, on-the-job training is commonly available. Universities may also provide access to learning and development courses that can lead to HR-related qualifications. This is one possible development route, not a promise that every employer provides the same training. If it applies to you, describe completed learning separately from study that is still under way.

Use a simple format such as:

ItemPresentation
Completed educationQualification, result or class, institution, year
Course in progressCourse title, provider and expected completion date
Workplace learningRelevant topic, employer or provider, completion year

Named credentials should appear only when you genuinely hold them. Give the exact title and issuer, and make the completion status clear. Short internal courses can be included when their subject is relevant, but they should not crowd out stronger education or employment evidence. Avoid unexplained abbreviations and remove expired or unfinished claims that could mislead the reader.

Common mistakes to avoid

  • AvoidListing routine administration without showing its HR purpose, such as writing only "updated records" or "answered emails".

InsteadConnect each task to the people process it supported. For example, state whether you maintained HR records, tracked applications, arranged interviews or answered candidate enquiries, then add a figure you can defend.

  • AvoidDescribing recruitment work as one vague duty instead of separating the stages handled.

InsteadName the stages you supported, such as posting vacancies, screening CVs, scheduling interviews, preparing offer letters and helping with onboarding. This gives the reader a clearer picture of your contribution.

  • AvoidClaiming to be organised, accurate or discreet without giving evidence.

InsteadProve these qualities through examples involving deadlines, record volumes, error reduction or confidential communication. Use only genuine figures that you could explain at interview.

  • AvoidFilling the skills section with generic office phrases that are disconnected from HR work.

InsteadSelect computer, administration and interpersonal skills used in context, such as application tracking, HR data reporting, candidate communication and Microsoft Office (Word, Excel, Outlook).

  • AvoidWriting an entry-level CV as though part-time work, internships or university activity do not count.

InsteadInclude transferable experience when it demonstrates scheduling, data handling, confidential communication, research or customer service. Explain the result rather than trying to make the role sound more senior than it was.

  • AvoidAdding unrelated hobbies or every short course completed.

InsteadKeep extras only when they show relevant adaptability, language ability or recognition. A short, targeted section is more useful than a long collection with no connection to HR assistant work.
